Workflow Management
Workflows are the core of your receivables process. All actions are defined within them.
Workflow overview

This page provides an overview of existing workflows, as well as instructions for creating and editing them.

Open workflows: Click on a workflow’s title to open the workflow builder, which displays a graphical view of the actions.

View versions: Click the expand chevron next to a workflow to see all its versions. For more details, see workflow versioning.
Status indicators:

The green icon before the workflow title shows the total number of active claims across all active workflow versions or at version level. -
In case the icon is in an inactive state, there are no active claims running on that workflow.
Creating new workflows
To create a new workflow:

Click the “Create new workflow” button in the top toolbar.

Enter a unique name for the workflow.

The workflow builder will open in draft editing mode, allowing you to start modelling its structure immediately.
Deletion of workflows
Workflows can only be deleted if:

No active claims are running on any version of the workflow.
AND -
No assignment rules point to the workflow.
To delete a workflow:

Open the quick action menu:

Select Delete workflow.
Deactivate assignments (Column “Assignable”)
There is the possibility to pause assignments on particular workflows. By setting the toggle in the column “Assignable” to OFF, the workflow will be set to an inactive state with regard to assignments.

Impact on running Claims: Claims and processes already assigned to the workflow are unaffected.

Impact on assignments:

Assignment rules targeting the inactive workflow will be skipped.

If a claim matches another rule’s criteria, it will be assigned accordingly.

If no rule matches, the default assignment rule (“If no rule matches:”) will apply.

Important: If the inactive workflow is the default assignment target, claims will remain unassigned and must be assigned manually.
